Cancellation Policy

At The Black Santa Houston, every reservation is custom and intentionally limited. When you book a session, your appointment time, studio availability, staffing, and preparation are reserved exclusively for your family and are no longer available to other clients.

All retainers, deposits, session fees, and payments are non-refundable and may not be redeemed for cash.

If you need to cancel your appointment, please contact us as soon as possible. For eligible cancellations submitted prior to the scheduled appointment time, a studio credit may be issued in place of a refund at the sole discretion of The Black Santa Houston.

Approved studio credits:

• May be applied toward future photography sessions, Santa experiences, or retail products

• Are transferable

• Do not expire

• Hold no cash value

• Cannot be redeemed for cash or refunded to the original payment method

Refunds will not be issued for:

• Missed appointments or no-shows

• Late arrivals

• Client cancellations

• Scheduling conflicts

• Change of mind

• Dissatisfaction based on personal preference

• Children who may cry, sleep, or refuse participation during the session

• Failure to review studio policies prior to booking

• Failure to properly prepare for the session

No-call/no-show appointments are considered abandoned sessions and are not eligible for refunds, studio credits, or rescheduling.

Clients arriving late may experience a reduced session time in order to preserve the schedule for other booked families.

By submitting payment, you acknowledge and agree that:

• You are the authorized cardholder.

• You approve the transaction amount.

• You understand the non-refundable nature of your reservation.

• You understand that photography is a custom and creative service.

• You agree to all published studio policies and terms.

To protect both our clients and our business, fraudulent chargebacks or payment disputes filed after an appointment has been reserved or services have been rendered may be contested using signed agreements, payment confirmations, appointment records, communication history, and proof of service preparation.

The Black Santa Houston reserves the right to refuse future services to clients who initiate abusive, fraudulent, or bad-faith payment disputes.

Refund Policy

All retainers, deposits, session fees, and payments made to The Black Santa Houston are non-refundable and non-transferable as monetary refunds.

By completing your booking, you acknowledge and agree that your payment secures a reserved appointment date, studio availability, staffing, scheduling allocation, and preparation time that becomes unavailable to other clients once reserved.

Refunds will not be issued for:

• Missed appointments

• Late arrivals

• Client cancellations

• Scheduling conflicts

• Failure to attend

• Change of mind

• Dissatisfaction based on personal preference

• Children who may cry, sleep, or refuse participation during the session

• Failure to properly prepare for the session

• Failure to review studio policies prior to booking

For eligible cancellations submitted prior to the scheduled appointment time, The Black Santa Houston may, at its sole discretion, issue a studio credit in place of a refund.

By submitting payment, the client confirms that they are the authorized cardholder, approve the transaction amount, understand the non-refundable nature of the booking, and agree to all published studio policies and terms. Fraudulent chargebacks or payment disputes filed in contradiction to these agreed-upon terms may be challenged using signed agreements, payment confirmations, appointment records, and client communication history.
